📍 Instant Session
To invite participants to your Instant session, you have two options:
- You can copy the URL link from your browser and distribute it through your preferred channels
- Or you can:
- Go to the Control bar at the bottom of your screen.
- Click on Participants (👥). A pop-up window will appear. You have here the option to:
- Share the session link
- Invite participants: A window will open where you can search contacts or enter your participants’ emails. Press Enter after introducing one email address and continue to add more participants. When finished, click Done.
❌ To delete an email added to the list of participants: click on the More actions (⋮) button after each email address → Remove participant. Click Done when finished.
⏰ Planned session
Clicking on Planned session → 🫂 Participants.
Submit their email addresses. Press Enter after each email address. When you have finished, click on Schedule session. You’ll be redirected to the session's Lobby.
Add participants while in the Lobby:
- Click on Participants (👥). A pop-up window will appear.
- Click on Share the session link to distribute the URL through other communication channels or,
- Click on Invite participants.
- A window will open where you can search contacts or enter your participants’ emails.
- Press Enter after introducing one email address and continue to add more participants.
- When finished, click Done.
📤 QR code and sharing the session link
To simplify adding participants to your session, when entering the session as Host*, you will see a modal that allows you to:
- Copy and share the session link
- Scan the QR code to enter the session with your phone and live the session’s experience through your participants’ eyes. Or you can use the QR code to enter the meeting from your phone and effortlessly share from there the session’s link via other channels.
🙋 How to join a session
When configuring the permissions for your online interactions, please note that there are two types of sessions: Locked or Unlocked.
- When a session is locked, participants require the Host’s approval to join the meeting.
- When a session is unlocked, anyone with the meeting's link can join.
Registered users:
You can find your scheduled sessions on Home - your starting point or Calendar.
When someone else invites you to a new session, it automatically appears in your Calendar. If the Host enabled email notifications, an email is sent to you as well.
When the time comes for the session to start, just click Join session to enter Lobby.
Guest users (without a Sessions account):
When you invite someone to join your session, they receive the invitation via email.
If they don’t have an account yet, when they join the session, they’ll be asked to fill in their name.
At the end of the session, they are redirected to the feedback page, where they can create an account.
🔓 How to lock/unlock a session:
👉 If you want to lock/unlock anInstant session, follow these steps:
- Click on the Settings button on the upper right corner (between View modes and Feedback).
- Go to Access.
- Toggle on/off the Lock session setting.
- While the toggle is on, the Host and/or Assistants will approve each attendee before they can join the meeting. When the toggle is off, anybody who has the link can join the session.
👉 If you want to lock/unlock a Planned session, follow these steps:
- Click on Planned session.
- Go to Access settings.
- Toggle on/off the Lock session setting.
👉 If you’ve already scheduled the Planned session and you want to change this setting, follow these steps:
- Find the session you want to edit (either in Calendar or Home).
- Click on it.
- Click on the Settings button on the upper right corner (next to Feedback).
- Go to Access.
- Toggle on/off the Lock session setting.
👋 How many participants can join a session?
The limit of participants that can join a session or an event depends on the pricing plan you’ve purchased.
