Customize your SMS reminders with SMS Setup in Sessions using the Twilio provider. You can send SMS reminder notifications for your bookings or events.
Add a text message setup
The SMS setup is configured at the Organization level, and then it can be set at the workspace level so all workspace members can use it. This feature can also be turned off for some workspace members based on their role/permission.
For SMS setup configuration:
- Go to your Profile → Organization settings.
- Click on SMS Setup.
- Click on Add a text message setup.
- Add a name for your SMS configuration.
- Add your Twilio Account SID. This can be found in Twilio -> Account -> General settings -> Account details.
- Select the authentication method: you can choose between an API key + secret or an Auth Token.
- Add your authentication method details:
- For Auth Token, this can be found in Twilio -> Account -> API keys & tokens -> Live credentials. Please note that test credentials do not work.
- For API key + secret:
- The API Key can be found in Twilio -> Account -> API keys & tokens -> Live credentials. Please note that Test credentials do not work.
- For the API Secret, you should have this stored from when you generated your API Credentials in Twilio. If you no longer have it, you need to generate a new set of API keys + secret.
- Add your Sender number. This is the active phone number that Twilio generated for you. Your participants will receive texts from this number.
- Click on the Save button.
- Enter your phone number to which the verification code will be sent.
- Enter your received verification code and click on Verify Code.
Configure SMS Setup on Workspace
After the SMS setup configuration is verified and enabled, it can be set at a workspace level to be used by all workspace members.
- Go to Profile → Workspace settings.
- In the General section, select the configured text message setup from the SMS Setup dropdown.
If you want certain workspace members to use the SMS Reminder option or not, you can configure that from Manage Roles:
- Go to Profile → Workspace settings.
- Go to the Manage roles section.
- Select for what workspace roles you want to enable/disable the “Add SMS Reminders” permission.
Configure SMS reminder templates
Similar to a custom email template, you can also configure SMS templates for your booking or events that will be used for sending text message reminders. These SMS templates are specific for each workspace member.
- Go to Profile → Workspace settings.
- Go to the SMS templates section.
- Click on Add a template button.
- Select the type of template: it can be an event reminder or a booking reminder. Based on the selected template type, the templates will be displayed on the specific page.
- Add a name for your SMS template.
- Add your body template. To see which placeholders can be used, click on the Show info button.
- Click on Save button.
Use SMS reminders for booked sessions or events:
When an SMS configuration is set at the workspace level, the option to use the SMS Reminders is displayed in the booking/event settings, under the General section (based on a member’s permission).
To use the SMS Reminder, you also need to add to your form the “Phone number” field. If the participant adds their phone number, they will receive an SMS reminder notification.
For a booking page:
- Go to the Book me page.
- Create a new booking or edit one already created.
- Go to the General section.
- On the SMS Reminder section, click on the Add reminder button.
- Add your reminder settings then select your SMS template.
- Go to Form.
- Click on Add field -> Custom field.
- Select Phone number.
- Change the name label by clicking on the three dots icon -> Edit field (✏️).
- Click Create booking / Update booking.
For an event:
- Go to the Events page.
- Create a new event or edit one already created.
- Go to the General section.
- On the SMS Reminder section, click on the Add reminder button.
- Add your reminder settings then select your SMS template.
- Go to Form.
- Click on Add field -> Custom field.
- Select Phone number.
- Change the name label by clicking on the three dots icon -> Edit field (✏️).
- Click Create event / Update event.
- the SMS reminder will still be displayed on the setup page, but the SMS reminder will not be sent anymore.
- You’ll need to enable the configuration and set it at the workspace level.
